This privacy policy explains how Snoots Inc. and Snoots New Jersey P.C. (“we”, “us”, “our”) collect, use, and protect personal information about our members and their pets when you visit our clinic, use our website, or use our services.

Snoots Inc. operates the membership program and all non-clinical services. Snoots New Jersey P.C. (the “Practice”) provides all veterinary medical care. Both entities are covered by this policy. This policy forms part of our Terms & Conditions.

Please read this carefully. If you don’t agree with it, don’t use our services.

Information We Collect

Information you give us

  • Your name, email address, phone number, and mailing address
  • Your pet’s name, species, breed, age, and identifying details
  • Payment information (processed by our payment provider; we do not store full card numbers)
  • Information you provide in forms, emails, texts, chat, or phone calls

Information we create in the course of caring for your pet

  • Medical history, examination findings, diagnoses, and treatment records
  • Diagnostic results, laboratory work, and imaging
  • Appointment records and clinical notes
  • Audio and video recordings of consultations, as described in our Terms & Conditions

Information we collect automatically

  • Device type, browser, IP address, and approximate location
  • Pages viewed, links clicked, and how you navigate our site
  • Information collected through cookies and similar technologies (see Cookies below)

Information from others

  • Records from your previous veterinary provider, where you ask us to obtain them
  • Referral information from partner providers

How We Use Your Information

We use your information to:

  • Book, confirm, and manage appointments
  • Diagnose and treat your pet, and provide ongoing care
  • Process membership payments and other charges
  • Communicate with you about your pet, your membership, and your account
  • Maintain accurate medical and business records
  • Train and supervise our clinical team, and review the quality of care we provide
  • Develop, train, and improve software and artificial intelligence tools that support clinical documentation, care quality, and operations, including AI-assisted note-taking used during consultations
  • Improve our website and services, and understand how they’re used
  • Send you marketing and service updates, where you have opted in
  • Comply with New Jersey State Board of Veterinary Medical Examiners requirements and other legal obligations
  • Establish, exercise, or defend legal claims

Artificial Intelligence and Your Data

We use AI tools in our clinic, and we want to be direct about what that means.

What we do. We use AI-assisted tools to help produce clinical notes from consultation recordings, and to support care quality and operations. We use records, data, and recordings, in de-identified form where practicable, to develop, train, and improve these tools.

What we don’t do. AI tools assist our veterinary team. They do not make clinical decisions and do not replace veterinary judgment. Only the Practice’s licensed veterinarians make clinical decisions about your pet.

Third-party processors. We use third-party service providers to transcribe recordings and generate clinical documentation. These providers are bound by contract to use your information only to provide services to us.

Your choices. If you have concerns about the recording of your consultation or the use of your information in these tools, contact us in advance at boops@joinsnoots.com and we will discuss the options available to you.

How We Share Your Information

We do not sell your personal information. We do not share it for cross-context behavioral advertising.

We share information with:

  • Service providers who work on our behalf: payment processing, appointment reminders, email and text messaging, website hosting, analytics, transcription, and AI documentation tools. They are contractually limited to using your information only to provide services to us.
  • Laboratories and specialists involved in your pet’s diagnosis or treatment.
  • Referred veterinary providers, where we refer your pet’s care.
  • Advertising and analytics partners, in connection with our website. See Cookies and Tracking.
  • Regulators and legal authorities, where required by law, including the New Jersey State Board of Veterinary Medical Examiners.
  • In a business transaction, such as a merger, acquisition, or sale of assets.

Your Rights

Your pet’s medical records. You own your pet’s medical records and may request a copy at any time by emailing boops@joinsnoots.com. We retain copies as described in our Terms & Conditions.

Your personal information. Depending on where you live, you may have the right to:

  • Know what personal information we hold about you
  • Request a copy of it
  • Correct inaccurate information
  • Request deletion, subject to our legal and record-keeping obligations
  • Opt out of marketing communications at any time

New Jersey residents have rights under the New Jersey Data Privacy Act, including the right to access, correct, delete, and obtain a portable copy of personal data, and to opt out of targeted advertising, sale of personal data, and certain profiling. To exercise any of these rights, email boops@joinsnoots.com. If we decline a request, you may appeal by replying to our response.

A note on deletion. Veterinary medical records are subject to retention requirements under New Jersey law. We cannot delete clinical records on request while those obligations apply.

Marketing. You can opt out of marketing emails using the unsubscribe link in any message, or by emailing us. Text message opt-out instructions are included in our messages. You will still receive service messages about your appointments and account.

Cookies and Tracking

We use cookies and similar technologies to operate our site, remember your preferences, analyze traffic, and measure the performance of our advertising.

This includes analytics tools and advertising pixels that may share information about your activity on our site with third parties.

You can accept or decline non-essential cookies via the banner shown on your first visit. Your choice is stored locally in your browser. You can also control cookies through your browser settings.

Some browsers send a Global Privacy Control (GPC) signal. We treat a GPC signal as a valid opt-out of targeted advertising where applicable law requires.

How We Protect Your Information

We use physical, electronic, and procedural safeguards to protect your information. We limit access to authorized personnel, train our team, monitor our systems, and use encryption and secure backups.

No system is perfectly secure. We cannot guarantee absolute security, but we take it seriously and we will notify you if a breach affects your information in a way that requires it.

How Long We Keep Information

We keep your information for as long as necessary to provide services, meet our legal and regulatory obligations (including veterinary record retention requirements under New Jersey law), resolve disputes, and enforce our agreements.

Children

Our services are not directed to children under 13, and we do not knowingly collect personal information from them.

Changes to This Policy

We may update this policy from time to time. We will post the updated policy here with a revised date, and will notify current members of material changes.
